Mount Baw Baw Alpine Resort Accommodation Terms and Conditions

1. Bookings

1.1. Bookings are subject to availability and the applicable pricing of the relevant property and or the service provider at the time of booking and some conditions and/exclusions may apply including but not limited to minimum night stay requirements, minimum numbers and seasonal price changes.

1.2. Any confirmed price is subject to change if any details relating to your booking are amended, for example your dates of stay, dates of activities, room type or the number of persons for your booking.

1.3. There are no tentative bookings and or holds on products or dates without payment and confirmation being made.

2. Payment

2.1. We accept payment via Mastercard or Visa, and invoicing by prior written agreement only.

2.2. When making a booking by phone, in person or online, I agree to the following:
1. To provide valid credit or debit card details for a non-refundable deposit of 50% to secure the booking. The deposit will be processed at the time of booking.
2. For online bookings, 100% payment is due at the time of booking.
3. If payment is not made in full by the due date management reserves the right to cancel the booking without notification and without refund.
4. Bookings made within 30 days of the arrival date are required to make the payment in full.
5. Payment of the deposit either in part or in full via telephone or via the internet will be taken as your acceptance of these terms and conditions.
6. All payments once made are non-refundable and are non-transferable between other properties or products.
7. Payment for products and services are non-transferable.​​​​

3. Refunds and Cancellations

3.1. A cancellation must be made in writing.

3.2. When cancelling an accommodation booking, you acknowledge and agree that:
1.If you cancel within 30 days of the arrival date for the accommodation there is 100% cancellation fee and no refund is due to you.
2. If you cancel before 30 days of the arrival date for the accommodation you forfeit all payments made to date.
3. Changing dates may be considered a cancellation.
4. Refunds may be due to customers in extreme conditions or circumstance such as road closures due to incident.
5. Refunds are NOT PROVIDED as a result of lack of snow or poor weather conditions or power outages or events beyond the resort's control.
6. No shows will be considered a cancellation.
7. Pre-paid products and services are non-refundable as they are allocated to your booking.
8. Resort entry is payable for every vehicle during the declared snow season and is non-refundable as it covers use and maintenance of the road and parking fees. Resort entry must be paid to cover from your day of arrival to and including your day of departure.
9. Cancellations are not accepted for bookings made via online booking services as per the conditions of the online booking services.
10. Linen and bedding supplies are limited so there are no refunds for linen or bedding once paid for, including unused linen/bedding.
11.Refunds and or cancellations for privately owned accommodation is at the discretion of each individual accommodation provider.

4. General

4.1. Management accepts no responsibility and or liability in respect of any errors or omissions that may result in potential disappointment, loss, inconvenience, expense or injury. Without limitation, management accepts no responsibility if the product/service is unavailable due to civil unrest, industrial disputes, and or interruptions to power supply, adverse weather conditions, health risk or terrorist activity.

4.2. Management reserves the right to request that guests check out on the day of departure prior to the designated check out time. Failure to check out at the designated check out time will result in a $50 per hour late check out fee and will be charged to the guest's credit or debit card provided on check in.

4.3. Management reserves the right to charge for any damage, breakages or thefts that occurs by you or your guests during your stay to the credit or debit card provided upon booking.

4.4. All persons should be aware that Mount Baw Baw Alpine Resort is in a remote location. This logistically can sometimes create difficulties in locating parts and suitable persons for the repair and maintenance of some items within the property. Management will do its very best to remedy items that are not operational in a reasonable time frame. Management and or the property owner takes no responsibility for delays in the repair that are outside its control.

5. Check In and Check Out

5.1. On check in you may be asked to provide a valid photographic identification to verify your booking and a valid Visa or Mastercard debit or credit card for security purposes.

5.2. All keys are to be returned to Guest Services on check out. Failure to do so may result in a key replacement charge.

6. Occupancy Conditions

6.1. You acknowledge and agree that the following additional conditions apply:
1. The number of guests permitted to stay in the booked premises is state on your booking confirmation. This capacity must be adhered to for fire and safety regulations. Exceeding the capacity of the booked premises without prior written approval may result in cancellation of your booking without refund and additional fees may apply.
2. Some accommodation requires that the guests bring their own sheets, pillowcases, bedding (doonas and pillows), towels and toiletries. It is your responsibility to check the inclusions on your booking confirmation.
3. Linen and bedding hire is available from guest Services (subject to availability) but must be booked and paid for in advance. If not paid for in advance we cannot guarantee availability.
4. Guests must be at least 18 years old to stay in the Alpine Hotel (Flashpackers and Backpackers) accommodation. Failure to comply with this will result in automatic cancellation of your booking without refund.
5. Accommodation is to be left in a clean and tidy condition on checkout. In the event you, your guests and or invitees leave dishes unwashed, rubbish lying around and bathrooms excessively unclean, a minimum cleaning fee of $50 per hour will be charged to the nominated credit or debit card.
6. You agree to pay and be responsible for any damages, breakages, theft or losses that occur as a result of any action by you, your group and or invitees during your stay. Failure to notify a staff member at Guest Services at the time of any such damages or loss may lead to additional fees and or prosecution.
7. All accommodation is smoke free. In the event that guests smoke or allow others to smoke, a minimum cleaning fee of $300 will be charged to the nominated credit or debit card to cover the cleaning of the property.
8. No pets or domestic animals are permitted at the resort or in any of the accommodation. The only exception being for service animals.

6.2. You agree to indemnify Southern Alpine Resort Management Board from and against all claims, suites, actions and demands made against Southern Alpine Resort Management Board which arise out of the use of the accommodation and its facilities by yourself, your guests and or invitees.

6.3. To the extent permitted by the law you release Southern Alpine Resort Management Board from and against all claims, suits and or actions relating to your booking and use of the accommodation and its facilities.

7. Lift Passes

7.1. Lift tickets will not be replaced if lost or stolen, or if any portion of the ticket is unused or if any of the facilities are not operating for reasons out of the resort's control.

7.2. Valid government issued ID must be presented on purchase to receive relevant lift pass discounts - valid student ID is required for a student lift ticket, valid government issued university student ID must be presented for the tertiary Tuesday rate, and a valid government issued seniors card must be presented for the senior price.

7.3. Tertiary Tuesday and Wicked Wednesday lift pass prices are not available during the July school holiday period.

7.4. A valid lift ticket is required to be carried and clearly displayed to be able to use ski or snowboard equipment and or the ski lifts within the resort.

7.5. A lift ticket is only valid for the date printed on the ticket and is non-transferable for other products or services.

8. Snow Sports

8.1. There are no refunds for bookings made on the day.

8.2. It is your responsibility to arrive at least 15 minutes before the start of your booked lesson. We cannot guarantee an alternate timeslot if you are laste for and or miss your lesson.

9. Resort Entry

9.1. Resort entry is payable for every vehicle during the declared snow season. Full resort entry conditions on your resort entry ticket.

9.2. Your valid gate entry ticket must be clearly displayed in the front windscreen of the vehicle under regulations made in accordance with the Alpine Resorts (Management) Act 1997.

9.3. You are required to carry appropriate snow chains for your car and may be required to present proof of carrying them.

9.4. A paid chain fitting service is provided at resort entry, but you may be required to fit them to your car.

9.5. Upon making an accommodation booking you will be required to provide the registration of the vehicle you will be using for entry or will be required to provide it on check in.

10. Travel Insurance

10.1. Management strongly advocated for you and your guests to take up Travel Insurance to protect you against loss of personal belongings, public liability, adverse weather conditions and cancellation fees.

11. General Privacy

11.1. SARMB are committed to respecting your online privacy and recognise the need for appropriate protection and management of information you share with us. Sensitive personal information will not be shared with any third parties except where sharing of the information is essential to delivering to you accommodation, a product and or service. Information collected will be used for the purpose of accurately fulfilling your booking, including any required contact where there is an issue with the booking requested and or made.

11.2. Credit card processors (NAB eTransact payment gateway) and RMS Hospitality Solutions and Airbnb are the only third parties we use which assist us to securely and efficiently complete your booking. These companies use your information to authorise payment and book accommodation for you. Otherwise, mountbawbaw.com.au does not sell, rent, share, or transfer your personal information to third parties. The information you give us is confidential and will not be sold or given to any external individual or company or organisation. Payment Path: Credit Card Details -> NAB eTransact Payment Gateway -> Bank.

12. Email Newsletter Privacy

12.1. If you would like to opt out of receiving our newsletter/email after booking with us or if you signed up to receive it while visiting our site, there is a way for you to unsubscribe from it if you no longer wish to receive it. Follow the unsubscribe instructions within the newsletter or email us.

13. Sessions and Cookies

13.1. A cookie is a small text file that is stored on a user's computer for record keeping purposes. Like most websites, mountbawbaw.com.au uses cookies. We do not link the information we store in cookies to any personally identifiable information you submit while on our site. Our website uses session ID cookies. Session cookies make it easier for you to navigate our site. A session ID cookie expires when you close your browser. If you reject cookies, you may still use our site, but your ability to use some areas of the site will be limited.

Security and Privacy Collection Notice

The Board respects the privacy of your personal information and uses your personal information only in accordance with its Privacy and Data Protection Policy. The Board operates and is protected by 24 hour electronic surveillance equipment. CCTV images may be recorded for the purposes of:

a) Crime prevention and detection;

b) Training and coaching of personnel;

c) Enhancing personal safety of the mountain’s community; and

d) Ensuring the accuracy of information gathered post an incident or event.

The IT Department collects your personal information for the primary purposes of managing safety and access to buildings. Your personal information may be disclosed to contracted service providers of the Board, law and regulatory enforcement agencies and where required or authorised by law.
