Base rate booking applies for four bedroom house (3 king beds, 1 queen bed - any or all kings can be split to make twin share rooms). Additional people may be accommodated on quality fold out beds (max 2 adults, 2 children and one baby in a cot).

Terms & Conditions

Planetrees’ business relies on advance bookings taken on a first come basis secured by deposit payments. While we make every effort to keep calendars of agencies’ sites up to date the booking schedule maintained by Planetrees Management is the final word in regard to confirmed bookings. We operate a booking system via Little Hotelier to minimise errors and recommend BOOKING DIRECTLY via Planetrees Estate website to gain the best rates and security for your booking.

STANDARD BOOKINGS are a minimum of two-nights. A three-night minimum applies for all PEAK rate BOOKINGS (public holidays , school holidays etc) *. Discounts may apply for bookings of 7 nights or more by agreement with the management.

Bookings are fully confirmed only when the 50% deposit has been received (in the case of the Lodge) or full payment for Arts Suite bookings. For the Lodge the T balance including the bond as specified on your invoice is payable up to 40 days from the time of your stay (Other web agency bookings have their own payment arrangements.)

PEAK BOOKING periods* – Schedule A include but are not limited to Xmas, Easter, New Year, Melbourne Cup weekend, public holiday weekend (VIC and NSW), Anzac Day weekend and major festival event weekends. Peak bookings Schedule B include Victorian School holidays and summer peak times Dec - February.

We will make every effort to accommodate changes to bookings where this is possible. However, the following policy applies for amendments, cancellations and/or rescheduling of bookings:

All changes to bookings must be notified to Planetrees in writing via the email to The date applied to the change will be the date of the email.

Cancellations due to COVID limitations restricting travel/access to the property affecting HALF OR MORE OF YOUR BOOKING NUMBERS can be cancelled with full refund or rescheduled. Evidence of impact is required. For parties where the number affected is less than 50% the normal booking terms apply.

Changes to Standard booking dates may be cancelled, amended or rescheduled without penalty, up to 45 days prior to the original arrival date. For amended bookings the number of guests, number of nights and minimum value of the booking must meet our respective minimum booking terms.

For amendments made to bookings within the 45 day period the full value of the original booking will remain payable. Within this period, bookings cannot be rescheduled to other dates unless the modifications are minor changes. Bookings that are cancelled within this period will forfeit the deposit. Cancellations with 30 days of arrival forfeit the whole value of the booking.

Peak booking amendments
Peak bookings have fixed rates irrespective of the number of people staying. Changes are not accepted for peak period bookings within 60 days of the original arrival date. The cancellation of a peak bookings within this time frame will incur the full cost of the original value of the booking. Rescheduling bookings incurs a charge of 5% of the total booking cost.

Changes increasing the number of nights or numbers of guests are available for these bookings at the current rates, pending availability.

These terms and conditions apply irrespective of the cause of the rescheduling or cancellation.

Early vacation of the property – If guests vacate the property for any reason prior to the originally approved departure date no financial compensation will be due to be paid by Planetrees Management.

WARNING – Additional guests who stay but are not notified to the owner prior to the booking arrival date will be charged at the given rate plus $100 admin fee for each additional guest. This will be deducted from the bond or charged to your credit card.

Planetrees management does not offer the option for guests to bring their own additional temporary beds, linen or camping etc. Porta cots may be brought with the prior permission of Planetrees management.

WARNING Supervision of Children and Animals – Planetrees Estate is not fully fenced. The adjacent property has an unfenced dam and other properties nearby have animals. Children (12 years and under) and animals must be supervised by adult guests at all times including at the swimming pool. (Dogs are not allowed in the swim pond garden at any time). Planetrees does not accept any responsibility for accidents or damage to children or pets.

OTHER VISITORS - Planetrees facilities (garden, pool, chess etc) are reserved for the shared enjoyment of our paying guests only (as for any retreat/hotel). If you wish to have visitors to the property please contact the management for prior approval and ensure that you respect the rights of other guests to enjoy the property in full.

Dogs accompanying guests. Guests must obtain written approval from Planetrees management for dogs to accompany their stay prior to bringing the dog(s). We welcome small (<8 kgs), well-behaved dogs that have current vaccination papers. A per night rate charge is made for each dog staying.

By bringing a dog(s) to Planetrees the dog owners accept full responsibility for keeping their dog(s) within our property boundaries and within their sight at all times. At no time can dogs be left unattended at Planetrees.

Any damage or loss resulting from the misbehaviour of pets will be at the cost of the pet owner to rectify. The management of Planetrees reserves the right to have any dog(s) removed to kennels or elsewhere if they have not been approved for the booking prior to the stay or if the dog(s) are deemed unsuitable for the property.

GENERAL USE TERMS - Please respect the care taken to maintain the property in excellent order. for your enjoyment. TURN OFF LIGHTS AND AIR-CONDITIONING when you are not at the property, follow the checklist left for you. Take all rubbish to the main bins, (in bags and properly separated for recycling! ), clean the kitchen and put the dishwasher on. If the accommodation is left particularly untidy/dirty and requires extra cleaning you will be charged!

Inappropriate behaviour – Planetrees management reserves the right to evict any or all guests from the property in the event of inappropriate behaviour by guests or their animals without penalty to Planetrees management. Rare circumstances that may prompt such action include (but is not limited to), risk of damage to the property, unreasonable disruption to amenity of others on the property and/or neighbours or risk to public safety. In that event there will be no refund payable for any part of the booking value.

* Peak time bookings include Easter, long weekends (VIC or NSW), Xmas and NY, Melbourne Cup weekend and any other public holiday.

CONFIRMED BOOKINGS occur only with payment of deposits or the full amount. Quotes are valid for 30days from the date of the invoice/quote. Thereafter there may be changes to rates.
For Lodge bookings a 50% deposit is payable when you book. THE BALANCE IS DUE 40 days PRIOR to YOUR ARRIVAL.
For Arts Suite bookings the total is due at the time of booking.

Payments are accepted only from the person booking (not split).

Credit card payments incur a 2% surcharge.

Changes to INCREASE the booking numbers and dates can be made anytime up to your arrival. Changes REDUCING numbers or dates may be made up to 45 days prior to your stay with resultant cost adjustments. Thereafter the original booking cost will be applicable. (Refer to Cancellation Policy)

We accept payments by direct debit (preferred) and Visa or MasterCard. Credit card payments incur a surcharge to cover bank fees. Bank details are on the invoice. Bookings made through other travel websites (, HomeAway, AirBnB, TripAdvisor etc) incur extra charges to cover the commissions and fees charged by those businesses. We recommend DIRECT BOOKING via our website to get the best rate.

Bookings MUST BE PAID IN FULL (including bonds where applicable) by 40 days PRIOR TO YOUR ARRIVAL date. If payment is not received by that date we will be in touch.
Payments made one week or more after the due date will incur an additional administration charge equivalent of 5% of the booking value and/or may be cancelled.

**EXCEEDING THE NUMBERS OF GUESTS ON THE BOOKING without notification to management prior to arrival will incur a $100 charge plus the rate applicable to the stay of the extra guest(s). This includes children, babies and dogs! We do not allow people camping, sleeping on sofas or other misuse of the property.

Management reserves the right to CANCEL BOOKINGS NOT PAID WITHIN 14 DAYS of the due date and to retain the deposit without penalty.

A BOND , where applicable at the Lodge, is a security payment taken with your final payment to cover any unreasonable damage or loss resulting from your occupation of the property. This includes but is not limited to loss or damage to the buildings, furniture, furnishings, fixtures, fittings and equipment of the property. Damage to the grounds, garden plantings, the pool; its structure and its ecosystem. Including but not limited to damage or liability caused to neighbouring properties, their animals/ infrastructure. Pending the property is left in good order as required the bond will be refunded to you within a week of your departure.

Cancellation Policy

Numbers and dates of bookings may be changed without penalty, allowing full refund (if required), up to 45 days prior to your original arrival date.
Cancellations between 45 - 30days of the arrival date will forfeit the deposit. Cancellations within 30 days of the booking forfeit the whole value of the original booking unless another booking replaces the lost value for those dates.

Bookings rescheduled to other dates (pre 45 days from the arrival date) incur a charge of 5% of the total booking cost.

INCREASES in days, persons etc is allowable pending availability.

Apply to all public holiday weekends and Easter, Xmas , Anzac and Australia Day and Melbourne Cup weekends.

Peak bookings apply FIXED RATES irrespective of the number of people staying. Changes to peak bookings can be made without penalty up to 60 days or more of the arrival date on the original booking. A 5% admin charge applies for rescheduled bookings. Cancellation of a peak period booking within the 60 day period forfeits the entire value of the booking
Changes increasing the number of nights or numbers of guests are available for these bookings at the current rates, pending availability.
